Privacy Policy

The short version

Every tool works without an account. If you don't sign in, the teams, lineups and matches you create stay in this browser on this device, and nothing about them is sent to us.

If you sign in with Google, your teams and matches are stored in your account on our server, so they follow you to any device and survive a cleared browser. Only you can see them. We never sell your data, and the site carries no advertising.

You can download everything we hold about you, and delete your account and all of it, at any time — without having to ask us.

Who runs this site

VolleyRoster is operated by doubleM, in Ontario, Canada. For anything about your data, email hello@doublem.ca.

If you sign in

Signing in uses Google. Google confirms who you are and tells us your name, first name, email address and Google account ID. We never see your Google password. Google may record that you signed in to VolleyRoster, under Google's own privacy policy.

With an account, we store:

• Your account: your name, email address, Google account ID, and when you created the account.
• Your teams: team names and seasons, your players' names and jersey numbers, and your lineups.
• Your matches: the team and lineup used, the score, and every rally and stat you recorded.
• Your sign-ins: a random code that keeps you signed in, stored only in scrambled form. It expires after 30 days, or as soon as you sign out.

This is kept on servers run by our hosting provider, Hostinger. Only you can see your teams and matches. We look at them only to keep the service running, or to fix a problem you ask us to help with.

If you don't sign in

Everything you create stays in your browser's storage on this device. Clearing your browser data removes it, and nobody — including us — can recover it for you. Signing in, or saving a copy from Your season, protects it.

On your device, either way

A few things are kept in your browser even when you are signed in: a copy of a match in progress, so a dropped connection in the gym doesn't lose rallies; which team you had open; your light or dark setting; and the demo teams, if you open demo mode. When you are signed in, a small cookie keeps you signed in. Scripts on the page cannot read it.

Player names and numbers are never put into a web address, so they cannot end up in your browser history, in analytics, or in a link.

Download your data

On the Games tab of Your season, Save a copy downloads one file with everything: your account details when you are signed in, your teams, and your matches. Each match can also be downloaded as a spreadsheet from its report, and each player's stats as a CSV file from their page.

Delete your data

Deleting a team or a match erases its contents straight away.

To delete your account, sign in, open the menu under your name, and choose Delete my account. Your account, teams, matches and sign-ins are deleted immediately and permanently, and VolleyRoster is disconnected from your Google account. There is no recovery period, so save a copy first if you might want it later.

Our hosting provider keeps automatic backups of the database for disaster recovery: the most recent daily and weekly snapshots, inside a 60-day window. Deleted data disappears from those backups as they expire, so within 60 days. If the hosting itself were ever closed, the last backup taken could be kept for up to 90 days.

Technical data and server logs

Like nearly every website, our hosting provider keeps standard server logs — IP address, device and browser type, and the pages requested — for security and troubleshooting, for a limited period. These logs do not contain your teams or matches.

Analytics

This site uses Google Analytics to count visits and see which pages are useful. It records things like the page address, rough location derived from your IP address, and the type of device and browser you use. I use it to decide what to build and write next.

The tag is configured to report only the page path, with the query string and any fragment removed, and player names and numbers are never in the address to begin with.

You can opt out of Google Analytics across all sites with Google's browser add-on, or by blocking analytics in your browser or an extension. The tools keep working either way.

This site also counts a small number of its own events — that a lineup was built, that a match was started, that a screen came up empty when it should not have. I use them to find the parts of the tools that get stuck, which is otherwise only possible when somebody takes the trouble to write in.

They are counts, not a record of you. No name, no email, no account, no IP address, nothing from your teams and nothing a player is called. A random id groups one visit together so that steps can be counted in order; it is kept only for that visit and is gone when you close the tab. If your browser sends a Do Not Track signal, none of this is recorded at all.

Children's information

VolleyRoster is for coaches, parents and adult players, and is not directed at children under 13. Coaches often enter the names of young players, so for youth teams we suggest first names or initials. A parent or guardian who wants a player's information removed can ask the coach, or email us.

Your rights and choices

You can download and delete your data yourself, as described above. Depending on where you live, you may have further rights under PIPEDA (Canada), GDPR (EEA/UK) or CCPA (California). To exercise them, or for anything the tools don't cover, email hello@doublem.ca.

The service providers this site relies on — Google, for sign-in and analytics, and our hosting provider — may process data in the United States and other countries.

What this site does not do

• No selling or renting of personal information.
• No advertising.
• No passwords: signing in is handled by Google.
• No player names or numbers in web addresses.

Changes to this policy

If how the site handles your data changes, this page and the date at the top will be updated.
